Facilities Management Administrative Support Specialist

Facilities duties:

  • Interact with vendors, contractors and professional services personnel on request of Facilities Manager to receive orders, direct activities, and communicate low-level instructions.
  • Facilitate in ensuring a clean and comfortable work environment by supporting coordination and resource requirements of external cleaning providers, scheduling regular deep cleans, and addressing maintenance or pest control requests in a timely manner.
  • Support coordination of space planning efforts for office refurbishment in alignment with company objectives.

Onsite Reception duties:

Hospitality:

Fleet Management:

  • Manage the fleet management process from purchase order to delivery, invoicing, targeting 100% end-user satisfaction with high-quality customer service and ensuring cost-efficiencies
  • Enhance company-wide communication by establishing clear protocols for reporting incidents or issues related to the fleet operations.
  • Manage the coordination and monitoring of required maintenance, MOT and servicing of vehicles
  • Systematically process and complete financial invoices for parking,speeding fines, vehicle damage and accidents. Ensure data is recorded to monitor repeat offenders and driver behaviour to improve safety standards and recommend additional driver training where necessary.

Hire vehicles:

  • Process DVLA checks of requested drivers and escalate points or conditions that may prohibit driving
